SUDBURY DAY 2009
Sudbury Day’s mission is to foster understanding of our community’s varied cultures through an annual day-long event.  By bringing people of all ages and backgrounds together to enjoy food, entertainment, displays, and activities, we can build a stronger sense of community.


Committee Chairs

Oversee all sub-committees
Report committee activities to Town Officials
Set meeting agendas and record meeting notes


VOLUNTEER SUBCOMMITTEES


Entertainment
Contact:         Ellen Gitelman



Pre-event
Create list of potential entertainers and their fees/logistical requirements
Schedule festival entertainment
Schedule emcees for stage


Day of
Provide written introductions of entertainers for emcees
Greet and direct all entertainers
Coordinate staging and equipment needs with logistics


Children’s Pavilion

Pre-event
Create themes for five children’s activities
Design and create pavilion booths
Work with volunteer committee to schedule workers
Supervise set-up and take down on Friday and Saturday


Day of
Supervise set-up of activities
Assist volunteers with activities
Train individual pavilion supervisors


Food Pavilion

Pre-event
Solicit participation of selected food vendors
Arrange for necessary equipment and other logistical needs


Day of
Assist food vendors with set-up as needed


Exhibitors and Vendors
Contact:         Martha Reid



Pre-event
Contact new and returning sponsors and exhibitors
Maintain registration information including special set-up needs
Send set-up information to all participants


Day of
Provide day-of assistance as needed 


Day of Event Volunteers

Pre-event
Organize list of volunteer needs
Recruit volunteers
Schedule volunteers for Sudbury Day


Day of
Provide for comfort of volunteers (food, drink, rest)
Provide for volunteer support as needed


Logistics

Pre-event
Determine site layout
Establish parking for exhibitors, entertainers, vendors, and participants
Establish traffic control plan covering pedestrians, cars and shuttle transportation
Arrange for Medical/Fire Safety
Arrange for all equipment (tents, tables, extension cords, etc.)


Day of
Provide site coordination for set-up and day of event


Community Grants

Submit written grant proposals as needed


Marketing

Pre-event
Design, produce and distribute promotional flyers and advertisements
Design, produce and post all event signage
Design, produce and distribute event brochure

Hang signage


Sponsorships

Secure cash sponsors
Secure in-kind donations as needed
Collect materials as needed for signage, publicity, displays, etc


Day of
Help facilitate sponsor-related participation


Publicity

Distribute all press-related materials
Coordinate all media coverage
Support marketing with written materials promoting Sudbury Day


Finance/Records

Manage all funds
Maintain accurate records from all committees (Yahoo Group)


Green Initiatives

Work with event coordinators and exhibitors to develop environmentally friendly practices
